Reservation methods and usage guidelines for library study rooms and discussion rooms

  • Opening hours
    • Individual study rooms / Self-check discussion room (Room 3014): All library opening days 09:00 - 24:00
    • Group discussion rooms:  Monday to Friday 09:00 – 24:00 / Saturday and Sunday 10:00 – 24:00; no online reservations are available and all rooms are open for free use on public holidays;
    • Library I.T. Services Counter service hours: Monday to Friday 09:00 – 20:30 / Saturday and Sunday 10:00 – 17:30; closed on public holidays.
  • Target users
    • Private study rooms and group discussion rooms are only available to UM staff and full-time students.

  • Reservation and usage procedures for study rooms, discussion rooms and long-term study rooms
    • Study rooms and discussion rooms (Non-long-term study rooms)
      • Reservation method
        • Users may make their reservation through the library room borrowing system (https://lib-booking.library.um.edu.mo); UMPASS must be used to log in to the system.
        • Or, go to the Library I.T. Services Counter on the ground floor of the library during service hours to make a reservation.
      • Start to use
        • Before using the rooms, you must complete the sign-in procedure before you can officially use the room. There are two ways to sign-in: 
          • Self-check rooms (Individual study rooms / Room 2018 & 3014) – rooms with an access card machine installed outside the door. Please use the campus card of the person who made the reservation to sign in, and after signing in, wait for the door to be unlocked, and then the room is ready to use. 
          • Non-self-check rooms (group discussion rooms) – rooms that do not have access card machines installed. Please bring the campus card of registered members to the Library I.T. Services Counter to scan a QR code to sign in and exchange for a room card. The room card can be used to enter and exit the room multiple times. 
      • Cancel reservations
        • To cancel a reservation, please go to [Profile] [My booking] in the booking system, and at the <Operation> column of the table, click [Cancel], and then choose [Confirm]. If you use the mobile version, please click [Manage], click [Cancel] on the appointment, and then click [Confirm].
        • Or, go to the Library I.T. Services Counter on the ground floor of the library during service hours to cancel a reservation. 
        • All room reservations can be canceled before the use times starts and within 20 minutes of the reservation start time (for example, the reservation time is 10:00 am, you can cancel it in the system before 10:20 am).
      • Late check-in
        • In order to make full use of the resources in the library, the system only allows users to sign in within 20 minutes of the reservation start time. If users fail to sign in within the designated time, the room booking will be canceled and a violation will be recorded. 
      • Extend the booking
        • The rooms will be open for reservation applications again 30 minutes before the end of each use. At that time, users can apply for available study rooms through the room booking system. 
        • Whether you continue to use the same room or apply to use another room, the system will treat it as a new reservation. Therefore, users must check in again within 20 minutes of the new reservation start time, otherwise the reservation will be automatically canceled. 
      • End of use
        • Users should return the room once the use time is over to facilitate the use of other users; users of self-check rooms can just leave the room, while users of non-self-check rooms (group discussion rooms) should return the room card to the Library I.T. Services Counter and retrieve their campus cards. 
        • [Only applicable to discussion room users who need to borrow and return the room card] If the end time of the reservation is not within counter service hours, the users may continue to use the discussion room until the closing time of the library. If users finish using the discussion room after the counter closes, please return the room card to the security desk at the main entrance, and retrieve the campus cards there. 
        • Please take all your personal belongings with you before leaving. The library staff has the right to remove any left-behind items left in the rooms. 
        • When leaving, please turn off the lights, air-conditioning, computers and other electrical appliances in the room, and close all the windows and doors.
        • If users want to end the booking earlier, please go to [Profile] [My booking] in the system, and at the [Operation] column of the table, click [More Functions], and then choose [End Early]. If you use the mobile version, please click [Manage], click [End Early] on the appointment, and then click [Confirm].

 

  • Long-term study rooms
    • The library reserves and provides long-term individual study rooms for the teaching staff of the university.
    • Long-term study rooms are only available for teaching staff to borrow, and each teaching staff member can use them for a maximum of 150 days per application.
    • Before using the room each day, users need to go to the Library I.T. Services Counter to register for the room card.
    • After using it, users need to return the room card to the Library I.T. Services Counter on the same day. If users finish using the room after the counter closes, please return the room card to the security desk at the main entrance.
    • To apply for long-term study rooms, you can download the application form from the Library Website in [Forms] [I.T. Services] [Private Study Room Reservation Application Form] (PDF), and submit the completed the form to the Library I.T. Services Counter.

 

  • Violation and Penalty
    • There is a credit system, and each user has a credit of 500 per semester; if there is any violation of the terms of use, the corresponding scores will be deducted accordingly.
      • No-show: 100 credits deducted and reservation suspended for the day
      • Failure to return the room/room card on time: 100 credits deducted
    • The system will reset the credit points of all users before the start of each semester.
    • Users can view violation records in [Profile] [Credit detail] of this system, and also view credit balances in [Profile] [User info] [Credit Score].

 

  • Precautions for use
    • The reservation system opens reservations for a new day at midnight (12:00 AM) every day.
    • Each user can only use one study room or have one reservation at a time. The system will release the reservation quota 30 minutes before the end of each booking for the user to apply again. 
    • Users should not use any abnormal methods to reserve rooms and check in. The library staff has the right to inspect the study room at any time. If users are found to have illegal operations or behaviors, the library has the right to suspend the user's access rights or ask the user to leave immediately. 
    • The following measures only apply on public holidays
      • Since there is no online reservations on public holidays, the doors of group discussion rooms will not be locked. Users may go to the rooms directly for use on a first-come, first-served basis;
      • Users should be self-disciplined and avoid abusive usage;
      • It is strictly prohibited to occupy the room with personal belongings and then leave for a long time. If you finish using the room, you should take all your personal belongings and leave the room.
    • Smoking, eating, and sleeping are prohibited in the rooms.
    • Users should take good care of public property, and should not deface or damage study room equipment. If there is any damage, user must be responsible for compensation. 
    • If any equipment in the study room is found out-of-order or damaged before use, users should notify the service counter immediately for follow-up and handling.
    • If you lose the room card, you should contact the service counter immediately.
    • If any room cards or room facilities are lost or damaged, users will be responsible for compensation.
    • Users are not allowed to use the power supply of the study room to connect power-consuming supplies without permission, so as not to endanger the safety of public electricity use.
    • Users should keep the room tidy and are responsible for restoring the furniture and equipment in the study room to their original state before returning the rooms.
    • During discussions, the volume should be controlled, and making noise is strictly prohibited to avoid disturbing others.
    • Users should take good care of their personal belongings, as they will be responsible for their own loss.
    • The library reserves the right to modify, change, suspend or terminate these guidelines at any time.
